The key to your problem is that the resulting file needs to be
written in a format that can reproduce the output all on its own.
A common solution is to print the report as an .pdf file. For this
you need a program that acts as a printer but produces the output only
on file. The program will be listed as an alternative printer in your
printers folder, and for the task you temporarily select this new printer.
Note that the receiver needs to have a program to read your .pdf files,
such as the Adobe Acrobat reader.
Adobe Distiller is the best known program for this task.
PDF-XChange is a less expensive alternative
