Default Value list - 03-12-2007 , 03:10 PM

Hi,

I have created a value list in my database that allows a user to add a new
entry if an appropriate one is not available by simply clicking on "other"
in the popup list. However I can't seem to find a way to delete an entry in
case it was misspelt or inapropriate. I know I can create an external file
with the values, but I was hoping to keep it as simple as possible. The
people that will be using the database will not be computer savy enough to
go editing external files. Is there a quicker way to edit the contents of a
value list?

Thanks in advance for any assistance,

Regards,

Sue

There is, in fact, a checkbox in the Field/Control Setup dialog (where
you choose the value list for the field to use) that gives you that
option "Include "Edit..." item to allow editing of value list".

One thing to be aware of. Even though you can change the spelling of
Value List items, this will NOT automatically change the data already
stored in any existing records.

BEFORE changing the spelling you need to Find any records that have the
current spelling, then change the spelling in the Value List, and THEN
change each record to use the new Value. This is done manually, but you
could set up a script to do something similar.

Thanks for that, unfortunately, this option is greyed out. Any ideas?

For some peculiar reason best known to FileMaker Inc, the "Edit" option
is not able to be used with Pop-up Lists. Change the format to a Pop-up
Menu instead and then you can use the "Edit" option.

Just went to try that but the only options are as follows:
Edit Box
Drop Down List
Pop-up Menu
Checkbox list
Radio Button Set
and
Drop-Down Calendar

All the above options have the edit option greyed out or simply not present
for some of them.

Any more help would be greatly appreciated, thanks in advance,

Sue.

Is your value list source defined as "From Field" or as "Custom
Values"? Value lists populated from a field cannot have their values
edited, which would result in the edit box being greyed out.

The "Edit" option will also not be usable if the Value List is based on
a field / relationship. To edit these values you'll need to use
FileMaker's normal record editing functions.

The "Edit" option is only usable for Value List type directly into the
Define Value Lists windows.
