Default Scroll Boxes - 08-24-2011 , 08:11 AM






How do I make scroll boxes appear when I convert my database to a PDF?
or even scroll boxes appear when I am in preview mode. I can't make
the boxes bigger as it will make the boxes underneath smaller.

because we have a bunch of different people accessing the database and
we didn't want to have to everyone have to purchase the app. We send
it to everyone who needs it and take it with us as we travel around
the world.
In that case you're only option is to make the "scroll boxes" bigger - big
enough to fit all the data. The best option would be to use a new Layout
so you have one for FileMaker on-screen use and one for PDF / print use.
On this new Layout the "boxes underneath" can be moved down to accommodate
the bigger "scroll boxes". Each record may well then end up as multiple
pages in the PDF.

You could create separate PDFs for different sections of the database
(e.g. if it's a schools database you could have a PDF for junior schools,
a PDF for high schools, and a PDF for colleges) and even different
sub-sections.

I haven't looked at FileMakerGo in any detail and have no idea how
complicated your database is, but the time and effort wasted in trying to
create, constantly update, and use a PDF version of a complex database
would probably far outweigh the cost of the Apps. You may even be able to
get a multi-user license for the App or qualify for an Education /
Government price (if there is one).

The database we have made is so complex. and we use it for sign
language so the boxes underneath the one that need to scroll are the
pictures of how to do th signs and we have already shrunk those and
made the box above bigger but its still not big enough to see all the
text without a scroll

Unfortunately the problem is that PDFs can't have scrolling sub-sections.
Your only choice is to make the boxes bigger (the maximum size they need
to be to fit the appropriate data), but it will mean records could end up
going over the page break, so you need to be careful of data being clipped
on the page break itself.

You can set the boxes and everything underneath Slide Up to close up any
extra gap on records with shorter amounts of data in the box (although
that then does make it harder to know if data is going to be clipped by
the page break).
